ForumPilot collects information necessary to provide our service to EO and YPO forum groups. This includes:

• Account information: name, email address, and phone number, provided by your forum moderator when adding you to the platform.
• Forum data: meeting schedules, attendance records, presenter assignments, and agenda items managed through the moderator dashboard.
• Message content: text messages and emails exchanged with our AI concierge, Nora, to provide meeting logistics, reminders, and forum support.
• Usage data: basic information about how you interact with the Service, used to improve performance and reliability.

2. How We Use Your Information

We use the information we collect to:

• Deliver the ForumPilot service, including AI concierge functionality via SMS and email
• Send meeting reminders, RSVP confirmations, scheduling updates, and forum protocol guidance
• Maintain member preferences and conversation history for personalized assistance
• Improve and maintain the quality of the Service

3. Phone Numbers and SMS

We do not sell, rent, or share your phone number with third parties for marketing purposes. Your phone number is used exclusively to deliver ForumPilot's AI concierge service via SMS text messaging. The above excludes text messaging originator opt-in data and consent; this information will not be shared with any third parties.

When your forum moderator adds you to ForumPilot with your phone number, you will be able to send and receive SMS text messages with Nora, our AI concierge. Messages may include meeting logistics, RSVP confirmations, scheduling information, presentation preparation materials, and forum protocol reminders.

Message frequency varies depending on your forum schedule and your interactions with Nora. Standard message and data rates may apply.

You may opt out of SMS messaging at any time by replying STOP to any message from Nora. To get help, reply HELP. Opting out of SMS does not remove you from ForumPilot — you can still use the service via email.

4. Data Sharing and Third Parties

We use third-party service providers to operate ForumPilot, including cloud hosting (Supabase, Vercel), AI language models (Anthropic), email delivery (SendGrid), and SMS delivery (Twilio). These providers process data only as necessary to deliver the Service and are bound by their own privacy and security policies.

We do not sell your personal information to anyone. We do not share your information with third parties for their marketing purposes. We may disclose information if required by law or to protect the rights and safety of our users.

5. Data Security

We implement appropriate technical and organizational measures to protect your personal information. Forum data is treated as confidential and access is restricted to authorized forum members and moderators. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as your forum account is active or as needed to provide the Service. If you or your moderator request deletion of your data, we will remove it within a reasonable timeframe, except where retention is required by law.

7. Your Rights

You have the right to access, correct, or request deletion of your personal information. You may opt out of SMS messaging at any time by replying STOP. To exercise any of these rights, contact us at purav14@gmail.com.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes via email or through the Service. Continued use of ForumPilot after changes constitutes acceptance of the updated policy.
